FACILITY USE REQUEST - EXTERNAL ORGANIZATIONS


The person/organization requesting the use of our church office facilities hereby absolves the church, its pastors, leadership, members, or people of any liability for personal injury to any individuals resulting from the use of the church facilities and agrees to be responsible for any property damage that results during the use of the facilities. Please report any damage to the church office promptly. A Certificate of Liability Insurance is required for all groups using our facilities. Please list Hilton Head Presbyterian Church, 233 William Hilton Parkway, Hilton Head, SC 29926 as the Certificate Holder and send to info@hiltonheadpca.com. We must receive this prior to your event. Groups or individuals using the facility are responsible for set up, clean up, and return to normal set up of the facility. (See “Responsibilities for Building Use)

Please acknowledge that you are aware that a Certificate of Liability needs to be submitted and received by our office prior to your scheduled event. Forms should be sent to info@hiltonheadpca.com. Please type your name as acknowledgement of this agreement.


Responsibilities for Facilities Use:

  1. Please note that it is the responsibility of the group or individual using the facility to set up, clean up, and return the facility to normal setup after the approved event or activity.

  2. Collect all garbage into bags and make sure you put new bags in cans, take your garbage and put it into the dumpster (located in the enclosure in front of the church.) Do NOT place trash on top of dumpster or outside of the dumpster. If your trash does not fit in the dumpster, please take it with you.

  3. If food or drink is involved, please wipe all tables clean. If stains occur, please notify the office so correct cleaning solutions can be used to remove stains.

  4. Return all tables, chairs, and other equipment to their proper places after your event.

  5. If using the kitchen(s), wash and dry all dishes used and return them to the correct location. Take all extra food and beverage with you unless specific plans for usage have been made. Wipe counters and leave kitchen(s) clean and ready for next use.

  6. Sweep floors, vacuum, and mop as needed. Report any damage to equipment or property promptly to the office.

  7. Remove any items that you set out in connection with your event. Please do NOT attach anything to the walls.

  8. Check that all doors are locked (check from the outside to ensure they do not open), lights are off, restrooms are clean, etc.
